Preamble: Welcome to Moodofhope Tours, your go-to freelance adventure planner in Ghana, leading curious travelers onto the highways and byways for personalized heritage and ecotourism experiences.

Kindly review the following booking terms attentively. By making a deposit or paying in full, youacknowledge that you have read, understood, and accepted all terms and conditions.

The client’s tour contract is with Moodofhope Tours, Registered Company No. (BN432700521) located at Moodofhope Tours, Tarso Street, HP 1264, Ho Volta, Ghana.

References to “The Client(s)” in these conditions pertain to the individual or individuals specified on the tour program to whom these booking conditions apply.

The “Tour Package” encompasses your travel itinerary and the services reserved with Moodofhope Tours. Your tour package inclusions and exclusions can be tailored to suit the interest, time, and budget of the client(s).

Our standard services include but are not limited to, meals, professional guides accommodations, entertainment, and ground transportation in A/C vehicles and (biking at the client(s) discretion).

Item 1: Travel Contract and Payment of Fees

1a. to confirm your booking, 100% payment or a deposit equivalent to 40% of the total cost of your travel program is required. In certain circumstances, we may request a deposit exceeding 40%, depending on the nature of the travel program, and we will inform you of this during the booking process.

Where the client(s) makes a 40% deposit, full payment must be made no later than 31 days
before the departure date. For travel programs booked less than 31 days before departure, full payment is required immediately.

Failure to make full payment 31 days before departure grants us the right to cancel the travel program and retain the deposit as herein described under Item 2, subsection b.

1b. Confirmation of the travel contract, signifying its definitive status, will be issued within two (2) weeks of receiving the deposit. This confirmation with a provisional itinerary officially acknowledges the existence of the travel contract within our planning framework.

1c. the travel fees are determined by the prices and conditions outlined and confirmed during the preparation of your tour program. In the event of any changes in price, exchange rates, or taxes, we retain the right to adjust the fare accordingly.

We commit to informing you of any fare increases as soon as possible, but no later than 15 days before the scheduled departure date. If the fare increase exceeds 12 percent of the total cost of the travel program, you have the option to cancel the trip without incurring any charges up to 15 days before departure.

Item 2: Cancellation by the Client

2a. if the client(s) decide to cancel your holiday, the individual who made the booking must promptly notify us in writing. The cancellation becomes effective upon our receipt of the client(s) notification under the conditions that:

2b. if the client(s) cancel 15 days or more before the reserved check-in date, we will refund the Client(s) deposit, minus any incurred costs up to that point. However, if the cancellation is made within 14 days
before the start date/day of check-in, the following cancellation charges will apply:


2c. 8 to 14 days before the check-in date: Loss of 40% of the total charge.

2d. 1 to 7 days before the check-in date: Loss of 50% of total charge.
2e. 24 hours or less: Loss of 100% of total charge
2f. if third-party suppliers, such as car rentals or domestic flight companies or accommodations, impose additional cancellation charges, we will also pass on those extra costs to you. We strongly advise that you obtain an insurance policy to cover cancellation charges at the time of booking.

Item 3: Cancellation by Moodofhope Tours

3a. Moodofhope Tours reserves the right to modify the tour program, either partially or entirely, or to cancel the tour program entirely when deemed necessary due to circumstances including, but not limited to, natural disasters, political conflicts, mechanical failures, unstable weather conditions, etc.

In such instances, we will make every effort to find a suitable alternative. If no alternative is available, we will refund any payments received thus far.

3b. If information or circumstances come to our attention after the confirmation of the tour program, raising doubts or concerns about your mental and/or physical condition, we reserve the right, with justification, to cancel the travel contract entirely. In such cases, any payments received for the travel
program will be fully refunded.

3c. In the event of the circumstances outlined in paragraph 3a, Moodofhope Tours shall not be held liable for any costs incurred by you, including but not limited to visa fees, insurance, vaccinations, etc.

Item 4: Travel Insurance & Duties of the Client

4a. Upon booking the trip, you are required to disclose any relevant personal circumstances, including but not limited to illness, disability, allergies, overall condition, etc. as may be considered necessary for the smooth facilitation of the client(s) chosen tour package.

4b. For your safety and well-being It is essential that you arrange travel insurance and medical precautions at the time of booking. We do not provide specific advice on these matters, as individual circumstances vary.

Therefore, you must ensure that the travel insurance and medical precautions you
obtain are suitable for your needs. You are responsible for ensuring you have adequate medical and travel insurance coverage before commencing your tour program. We strongly recommend that travelers purchase travel insurance, including coverage for trip cancellation and emergency assistance.

If you plan to participate in any hazardous activities during the trip, you should carefully review your insurance policy to ensure coverage in the event of an accident. Additionally, you should ensure sufficient coverage for any activities you anticipate participating in during your trip.

4c. you must possess a valid travel visa and passport upon arrival, with a minimum validity of six months from the date of arrival. Proof of yellow fever vaccination is mandatory for obtaining a visa and/or returning from West Africa. Failure to provide the required documentation will result in the cancellation of the trip, and no refund of travel fees will be provided.

Item 5: Obligations and Liability of Moodofhope Tours

5a. Moodofhope Tours will always strive to provide services to the best of our ability. We arrange, promote, and sell tour packages comprising various travel services, including but not limited to ground transportation, excursions, entertainment, and accommodations, which we procure or reserve from different suppliers. We will make every effort to ensure that the suppliers we engage are suitable for the intended tour program. We assume responsibility to you for any failure or inadequate provision of the
travel services booked as part of your trip. This responsibility will be evaluated based on the usage, customs, and limitations of the trip destination, as well as the nature of the trip. By utilizing the travel services of the suppliers, you agree that neither we nor any of our representatives shall be liable for any
accident, injury, costs, property damage, or personal loss to the client(s) or fellow travelers arising in connection with any accommodations, transportation, entertainment or other travel services, where
such incidents are caused by the client(s) acts or omissions, or result directly or indirectly from any occurrences or conditions beyond our control, including but not limited to, acts of terrorism, war, vehicle defects, equipment breakdown, strikes, theft, delays, or cancellations, or changes in the tour schedules.

5b. Limitations of Responsibility! Furthermore, neither Moodofhope Tours nor our suppliers shall be held responsible for:

5c. Damage resulting from circumstances not attributable to gross negligence or willful misconduct on our part, or as required by law or prevailing circumstances beyond our reasonable control.

5d. natural disasters, theft, loss, or damage to property and the client(s) carrying substances or goods prohibited under American/European law or the laws of the host nation i.e. Ghana.

5e. Violations of the laws and customs of our visited communities in Ghana. Our professional guides will give you the relevant orientation upon arrival.

5f. obvious errors in the tour package or plan.

5g. Damage covered by travel and/or cancellation insurance.

5h. Expenses incurred by you in preparation for the trip (e.g., non-refundable advance purchase air tickets, visa fees, equipment, medical expenses, etc.).

5i. In cases where we are deemed liable for damages resulting from loss of enjoyment or damages suffered during tour business or profession, the liability shall not exceed twice the total travel fees.

Item 6: Client Feedback

6a. Any grievances regarding any aspect of the travel agreement must be promptly brought to our attention at (customerfeedback@moodofhopetours.com) or to the travel agent acting on our behalf.
This allows for the complaint’s cause to be addressed by us and/or resolved by the respective travel agent where the tour is being conducted.

6b. If immediate reporting of a complaint is not feasible or if the initial grievance remains
unsatisfactorily resolved, it must be formally lodged in a phone call (+233 0545410465) or writing, along with pertinent details, within two weeks following the completion of the tour program. Upon receipt of a phone call/written complaint, we commit to providing a written response within 2 weeks, addressing the concerns raised in good faith.
